KEMA, stands for Karnataka Event Management Association, is the representative body for all the event management companies of Karnataka. It shares a unified voice that creates dialogue within its industry members and private bodies. Event planners specializing in weddings, corporate events, other events, and businesses associated with the event planning industry, such as venues, caterers, florists, decorators, etc. are members of the association.

With the mission to provide a platform, it is connecting event planners and helping them collaborate and learn from each other. Challenges faced by KEMA

  • Quick Check-ins : Smooth and efficient check-ins play a vital role in ensuring the success of the event. A slow and inconsistent check-in tends to create a bad, unsatisfying attendee experience. KEMA has been facing a great challenge in making the check-in experience smooth and quick for all attendees.
  • Onspot Registration: There was no solution that could look after the on-spot event registration of individuals who decided to attend an event at the last minute or were unable to pre-register.

Solutions Provided By Dreamcast

1. Self check-in Kiosks for Attendees to Check-in Quickly

Self-check-in kiosks provide a streamlined and efficient way for individuals to check-in without the need for direct assistance from staff. Here are some ways in which self-check-in kiosks have been beneficial for KEMA:

  • Faster Process: Self-check-in kiosks accelerated the check-in process, allowing users to complete the required steps quickly.
  • Reduced Queues: By enabling users to check in on their own, the kiosks helped reduce the length of queues at traditional check-in counters.
  • Staff Re-allocation: With routine check-in tasks handled by the kiosks, we deployed staff to more complex or customer-service-oriented tasks, enhancing overall service quality.
  • Paperless Alternative:Self-check-in kiosks eliminate the need to carry paper tickets and support digital tickets and documentation. This contributed to cost savings and environmental sustainability.
  • Accuracy: Assigning a person for the registration process often results in time consuming check ins. With self-check-in kiosks, the check in process became automated, leading to no human error or mistakes during the check-in process.

2. NFC Wristbands To Streamline Payments:

NFC wristbands offered both attendees & organizers several benefits during the event. Here are some ways in which NFC wristbands helped enhance the event experience for the attendees:

  • Cashless Payments: NFC wristbands can be linked to attendees' accounts or pre-loaded with a certain amount of money. This gave attendees the opportunity to make cashless transactions for purchasing food, beverages, merchandise, or other goods and services at the event.
  • Enhanced Security: Wristbands provided a more secure way of managing access compared to traditional methods like paper tickets. Also, it's harder to duplicate or forge an NFC wristband, reducing the risk of unauthorized entry.
  • Event Analytics: NFC wristbands also being very helpful for event organizers as they can gather valuable data on attendee behavior. It gave insights into popular areas, peak attendance times, and which activities came out to be the most interesting. As a result, this data can be used to improve future events.

3. On-spot Registration

We eliminated the need to carry physical tickets by providing QR code-based scannable M tickets and M badges. It is fast to scan and register for the event. Moreover, we provided the instant printing of event badges for attendees. This empowered event attendees to smoothly check in with unique QR codes, and custom-printed badges.

4. WhatsApp Push Notifications

By sending out push notifications, event organizers started conversations with attendees before and during the event. It also automated communication tailored to different touchpoints in the attendee journey and provided them a way to get in touch with the support team when needed.

  • Real-time Communication: It enabled real-time communication between users and organizers to receive updates and get help.

5. AI Photo Search to Retrieve Event Photos

An AI Photo Search system designed to retrieve event photos after the event was a powerful and efficient step taken by our team. It leverages artificial intelligence (AI) and image recognition technology to simplify the process of finding and organizing event-related images.
